Time Entry and Billing
Before creating any time entries, expenses, damages, or payments, you should first create a settlement. The settlement provides the framework for tracking all billing-related items and ensures proper organization of your financial records.
FluentCase includes time tracking and billing features to help you accurately record billable time and generate invoices for your clients.

The time tracking system allows you to:
- Track time - Record time spent on matters
- Categorize work - Use billing codes and descriptions

Creating Time Entries
New Time Entry
Create a new time entry:
- Click icon next to the Time Entries tab
- Select a Shortcut
- Enter a Description
- Set Hours
- Set Rate
- Set Date
- Click Save
Creating Expenses
New Expense
Create a new expense:
- Click icon next to the Expenses tab
- Select a Shortcut
- Enter a Description
- Select a Settlement
- Enter Quantity
- Enter Price
- Set Date
- Click Save
Creating Damages
New Damage
Create a new damage entry:
- Click icon next to the Damages tab
- Enter a Description
- Select a Damage Type
- Select a Settlement
- Enter a Provider Name
- Enter a Payor Name
- Enter Amount
- Enter Amount Paid
- Enter Lien Amount
- Set Date
- Click Save

New Payment
Create a new payment entry:
- Click icon next to Payments
- Enter a Description
- Select Payment Type
- Enter Amount
- Enter Due Date
- Enter Issued By
- Enter Issued To
- Enter Tracking Number

Custom Billing Codes
Create firm-specific billing codes:
- Go to Settings → Billing Codes
- Click New Code
- Enter:
- Code name
- Description
- Default rate (optional)
- Click Save
Billing Rates
User Rates
Each user has a default hourly rate:
- Go to Settings → Users
- Select a user
- Set Hourly Rate
- Click Save
This rate is used by default for all time entries by that user.
Matter-Specific Rates
Override rates for specific matters:
- Open a matter
- Click the Settings tab
- Set Billing Rate for each staff member
- Rates apply only to this matter
Rate Overrides
Override the rate for individual time entries:
- Create or edit a time entry
- Change the Rate field
- Amount is recalculated
- Click Save
Viewing Time Entries
My Time Entries
View your time entries:
- Click Time in the left sidebar
- See all your time entries
- Filter by:
- Date range
- Matter
- Billable status
- Billing code
Matter Time Entries
View time for a specific matter:
- Open a matter
- Click the Time tab
- See all time entries for this matter
- View by user, date, or billing code
Team Time Entries
View time for your team:
- Click Time → Team Time
- See time entries for all users
- Filter by user, matter, or date
Editing Time Entries
Edit Your Own Entries
- Open a time entry
- Click Edit
- Update fields as needed
- Click Save
Edit Team Entries
Administrators and managers can edit team time entries:
- Go to Time → Team Time
- Open a time entry
- Click Edit
- Update and Save
Bulk Edit
Edit multiple time entries at once:
- Go to Time
- Select entries (checkboxes)
- Click Actions → Bulk Edit
- Update common fields
- Click Save
Deleting Time Entries
Delete Individual Entries
- Open a time entry
- Click Delete
- Confirm deletion
- Entry is soft-deleted (can be recovered)
