Firm Settings: Branch Offices, Status Labels, and Party Labels
Required role: Firm administrators (All Access). General Staff users cannot create Branch Offices, Matter Status Labels, Activity Tags, or Contact/Party Labels; clicking shows a permission message instead. Because permissions are granular, your firm may grant these privileges to other roles. See User Roles and Permissions.
Opening Firm Settings
- Click your avatar (top right corner)
- Select Firm Settings
- Use the left panel to open a setting, or click next to a setting’s name to add a new entry
The left panel also includes Our People (see Managing Users), Activity Tags & Sharing (see Activities), and Calendar Categories (see Calendar Categories).
Branch Offices
Branch Offices store each office’s company, address, and telecom details, plus a default court and document templates. This information is used when filling PDF forms and merging Word templates.
Adding a Branch Office
- In Firm Settings, click next to Branch Offices
- Enter a Description (required; this is the office’s label)
- Optionally select a Default Court/Venue
- Check Primary Branch Office if this is your main office
- Complete Company Info, including Name and Display Name (required)
- Complete Address
- Under Telecom, enter Phone, Fax, and Website
- Click Save
Primary office rules:
- Your first Branch Office is always the primary office
- If only one office exists, Primary Branch Office cannot be unchecked
- The primary office is listed first and marked Primary
Editing a Branch Office
- Click Branch Offices in the left panel
- Click View Details on the office
- Click Edit
- Update the fields
- Click Save
Uploading Office Templates
From an office’s details, you can upload an Envelope Template, Invoice Template, and Letterhead. Only Microsoft Word (.docx) files are accepted.
- Click View Details on the office
- Click Upload (or Replace) next to the template
- Drop the .docx file or click Select Files Instead
If no envelope template is uploaded, the default template is used, but it does not include a return address.
Deleting a Branch Office
- Click View Details on the office
- Click Delete Branch Office
- Confirm the deletion
If you delete the primary office while other offices exist, another office is automatically assigned as primary.
Matter Status Labels
Matter Status Labels define the statuses available on matters and control where matters with each status appear.
Adding a Matter Status Label
- In Firm Settings, click next to Matter Status Labels
- Enter a Name/Label
- Select a Treatment of Matters with this Status:
- Open – Available everywhere
- Closed – Available in the Matters list, but hidden everywhere else
- Archived – Hidden everywhere except the Matter Archive
- For Open or Closed statuses, check or uncheck Allow staff to create time tracking entries
- Click Save
Editing a Matter Status Label
- Click Matter Status Labels in the left panel
- Click View Details on the status
- Click Edit
- Update the fields
- Click Save
Merging or Deleting a Matter Status Label
A status that is in use on any matter cannot be deleted. Merge it into another status instead.
Merge:
- Click View Details on the status
- Click Merge
- Select a status in Merge With
- Choose which status to keep; the other is deleted
- Click Merge
Matters are reassigned to the kept status. Changes may take a moment to appear.
Delete (unused statuses only):
- Click View Details on the status
- Click Delete
- Confirm the deletion
Contact/Party Labels
Contact/Party Labels are the roles assigned to contacts and matter parties (for example, Applicant, Employer, or Defense Attorney).
Adding a Contact/Party Label
- In Firm Settings, click next to Contact/Party Labels
- Enter a Name/Label
- Optionally click Show Matter Types and select the matter types where the label should appear. If none are selected, the label is available in all matters.
- Click Save
Quick add: When creating a label, the Common Party Labels section lists suggested labels by matter type. Click a label to add it immediately. Labels your firm already has are grayed out.
Display Order
On the Contact/Party Labels page, check Always Display in Alphabetic Order to list labels alphabetically.
Editing a Contact/Party Label
- Click Contact/Party Labels in the left panel
- Click View Details on the label
- Click Edit
- Update the name or matter types
- Click Save
Merging or Deleting a Contact/Party Label
The label’s details show how many contacts and matters use it. Party labels that are in use cannot be deleted. Merge them instead.
Merge:
- Click View Details on the label
- Click Merge
- Select a label in Merge With
- Choose which label to keep; the other is deleted
- Click Merge
It may take a few moments for the Rolodex to reflect the change.
Delete (unused labels only):
- Click View Details on the label
- Click Delete
- Confirm the deletion
