Print & Mail Overview
Print & Mail lets authorized firms queue matter documents for physical mailing from within FluentCase. The feature is sometimes referred to as Snailmail in older screens and documentation; both names refer to the same workflow.
What Print & Mail Does Today
Use Print & Mail when you need a physical mailing packet tied to a matter and its document history.
Current workflow:
- Open a PDF document attached to a matter.
- Click the Print & Mail mailbox button.
- Choose whether to include a cover page.
- Confirm the return address and addressee.
- Add any additional matter documents that should be mailed in the same packet.
- Submit the mailing request.
After submission, FluentCase records the request, links it to the matter, and keeps the attached documents tied to the mailing record for audit purposes.
Where to Find Print & Mail
From a document view, look for the mailbox button in the document toolbar. If Print & Mail is not enabled for your firm, the button may still appear and show an upgrade message when clicked.
If a document has already been attached to one or more mailing requests, the button changes to a history dropdown so you can review prior mailings and queue another one.
Mailing Records and Audit History
Print & Mail requests become part of the matter record. FluentCase may create a matter activity for the mailing and document history entries for the documents included in the request.
Documents attached to a Print & Mail mailing cannot be deleted while the mailing exists. If the mailing has not yet been printed, delete the mailing first, then retry the document deletion. Once a mailing has been printed, it becomes a permanent audit record and neither the mailing nor its attached documents can be removed.
Cover Pages and Addresses
When a cover page is used, FluentCase stores:
- Return address
- Addressee
- Optional contact link for the addressee
- Validation override choice, if used
- Document order and document-specific layout options
See Address Validation for details on ZIP validation and override behavior.
Current Limitations
Print & Mail is designed around PDF documents. Encrypted PDFs must be decrypted before they can be printed and mailed.
Pricing, postage, delivery confirmation, and carrier tracking are not documented here because they depend on the firm’s enabled workflow and fulfillment process. If you need billing or fulfillment details, contact your firm administrator or FluentCase support.
