Sending Documents with Print & Mail

This guide explains how to queue a Print & Mail request from a document. Older screens may call this feature Snailmail.

Before You Start

You need:

  • A PDF document attached to a matter
  • Permission to create Print & Mail requests
  • A return address and addressee if you are using a cover page
  • Any additional matter documents you want included in the same packet

Encrypted PDFs cannot be printed and mailed until they are decrypted. If you need to combine several documents first, see Combining PDF Documents.

Queue a Mailing

  1. Open the matter document you want to mail.
  2. Click the mailbox Print & Mail button in the document toolbar.
  3. Choose whether the packet needs a cover page.
  4. Confirm the return address.
  5. Select or type the addressee.
  6. Add additional matter documents if needed.
  7. Review the page count and options.
  8. Click Submit.

If your firm does not have Print & Mail enabled, clicking the button displays an upgrade message instead of opening the request form.

Addressee Selection

The addressee can be typed manually or selected from available contacts. If you select a contact, FluentCase can preserve the contact link on the mailing record while still storing the free-text addressee exactly as it will appear on the cover page.

Address Validation and Overrides

When a cover page is required, FluentCase validates the ZIP code in the return address and addressee. A green check means the ZIP validation passed. A warning means the ZIP could not be validated.

If you are confident the address is correct, check Override Validation to continue despite the warning. For more detail, see Address Validation.

Mailing History from the Document

If the document has prior Print & Mail requests, the toolbar button opens a dropdown with the mailing history. Use it to:

  • See previous mailing statuses
  • Open a linked mailing activity when available
  • Queue another mailing for the same document

Document Deletion Rules

Documents attached to a Print & Mail mailing cannot be deleted while that mailing exists. If the mailing has not been printed, delete the mailing first and then retry the document deletion. Printed mailings are permanent audit records.
